Administrative Assistants are every company's first official representative. The greatest role is tocourteously greet and welcome customers and general members of the public. The AdministrativeAssistant provides high-level administrative support directly to Management and the Leadership team.In addition, the Administrative Assistant provides a range of office support.Responsibilities:?? Performs a variety of duties ??? provides general administrative support for areas including phone answering service, data entry, sales support, marketing support, and organization of work and work areas.?? Cover the reception desk, answer phone calls according to company's Phone Protocol, greet and assist visitors?? Assist in the planning and preparation of meetings, conferences and conference telephone calls??? includes ordering and pickup/delivery of meals for various meetings?? Coordinates team meetings, trade shows; manages all aspects, including planning, organizing; negotiating and securing event space, coordinating and monitoring event timelines and ensuring deadlines are met?? Manages travel arrangements for others and troubleshoots and resolves issues related to travel??? including hotels and air/ground transportation?? Provides presentation support, creating and editing presentations, using Microsoft Office and other software as needed?? Provides marketing and sales support as neededWorking hours: 8:00 AM - 5:00 PMSkills:- Follows through on immediate inquiries, requests, or complaints by taking action in the form of finding and providing information, referring others to the appropriate person or resource, or providing assistance- Ensure operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories - including phones, printers, postage meter, shredding bin - Maintains cleanliness of conference rooms at all times (table clean, chairs pushed in, etc.) and stock the conference room and management offices- Carry out administrative duties such as filing, typing, copying, binding, scanning, mail distribution, etc.- Responsible for knowing and applying Company safety practices, policies and procedures;- Other tasks as requiredEducation:High SchoolExperience:ExperiencedQualifications:Excellent interpersonal and communication skills, with demonstrated ability to speak and writeclearly; Proven administrative or assistant experience?? Knowledge of office management systems, procedures, and software; Outlook, Microsoft Office?? Ability to manage multiple activities; prioritize and meet deadlines?? Ability to plan, prioritize, and problem-solve?? Excellent organization, time management, and follow-up skills?? Responsive to ever-changing work assignments and requirements; demonstrates flexibility?? Sees the opportunity to act and make a difference and takes the initiative to do so?? Must be a results-oriented individual who has the ability to work independently as needed?? Understanding of the oil and gas industry is considered an asset??
