Job Description JOB DESCRIPTION: The Receptionist will manage our front desk on a daily basis and will perform a variety of administrative and clerical tasks. As the Receptionist, you will be the first point of contact for our company. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. RESPONSIBILITIES: Greet and welcome guests as soon as they arrive at the office. Direct visitors to the appropriate person and office. Answer, screen and forward incoming phone calls. Prepare coffee daily. Run the dishwasher daily. Clean the refrigerator weekly. Submit maintenance requests as needed. Ensure reception area and boardroom is tidy and presentable, with all necessary stationery and material. Provide basic and accurate information in-person and via phone/email. Receive, sort and distribute daily mail/deliveries. Maintain the stamp machine, add postage, and change ink when necessary. Responsible for meter reading. Send report as requested. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook). Order front office supplies and keep inventory stock. Update calendars and schedule meetings. Arrange travel and accommodations. Create birthday/anniversary posters and letters. Keep updated records of office expenses and costs. Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing. Assist HR with processing backgrounds. Other projects as needed. REQUIREMENTS: Proven work experience as a Receptionist, Front Office Representative or similar role. Proficiency in Microsoft Office Suite Hans-on experience with office equipment (e.g. fax machines and printers) Professional attitude and appearance. Solid written and verbal communications skills. Excellent organizational skills and attention to detail. Multitasking and time-management skills, with the ability to prioritize tasks. Customer service attitude. High school degree, additional certification in Office Management is a plus. PHYSICAL REQUIREMENTS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk, hear, sit, stand, walk, bend and lift objects up to 25lbs. The employee frequently is required to use hands to finger, handle, or feel.
