SPARGO, Inc. is a full-service event management company. SPARGO offers a full suite of services that support the production of trade shows, conventions, conferences, symposiums and seminars. Under the direct supervision of the Vice President, Strategic Meetings Management, this position will provide administrative and clerical support for the vice president and department. The individual must be detail-oriented, proactive, capable of working independently and as part of a team. Strong organizational and communication skills are necessary. Essential Duties and Responsibilities (in order of importance): * Manage calendar for VP; organize and schedule appointments. * Prepare and modify documents including correspondence, reports, drafts, memos and emails. * Liaise with department staff to handle and respond to requests and queries from meeting managers for admin support. * Update and maintain department operational policies and procedures; establish, develop, maintain and update online library of relevant trade journal and magazine articles. * Order and maintain office supplies for department. * Submit and reconcile expense reports and other accounting documents using online software. * Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects at the request of the vice president, which may include: providing speaker management for select meetings/clients, preparing relevant documents and spreadsheets for select meetings/clients, and creating and coordinating training and associated documents for department staff. * Perform other duties as assigned. Qualifications (computer & communication skills, training, certification, etc.): * Strong proficiency with Microsoft Word, Excel, Outlook, and PowerPoint. Experience with databases (Access preferred) is helpful. * Excellent interpersonal, organizational, and communication skills are essential with a focus on the ability to work independently and collaborative effectively with others; the capacity to handle competing tasks in a fast-paced environment; the aptitude to effectively monitor and report on deliverables; and the ability to remain positive and productive in demanding situations. * Diligent work habits and continual attention to detail in composing, editing and proofing materials; advanced business writing skills; and sound judgement and professional discretion with information is required. * Demonstrated tact and diplomacy skills with the ability to interact and communicate effectively with individuals at all levels, both internally and externally. * Adept at recognizing potential conflicts and challenges, knowing when to escalate issues to supervisor. Education and/or Experience: * 1+ year of proven hands-on administrative support experience. * Experience in planning or performing onsite logistics for corporate, association, or other meetings and conferences will be a plus. * High school diploma required; additional schooling (associate's or bachelor's degree) or additional qualification as an administrative assistant will be a plus. Travel Required: No travel is expected for this position.
