This position will be responsible for creating a positive guest experience when greeting employees, visitors, applicants, and when answering or transferring calls. Will be required to assist with various Human Resources administration and support functions including employee requests, recruitment activities, new hire processes and paperwork, new hire orientation, and other duties as needed. Manages data, generates reports, and may assist with special events and activities. May be required to answer general inquiries regarding various areas of human resources.ESSENTIAL FUNCTIONS AND TASKS: Greet and assist all visitors cheerfully and professionally, answer and direct all calls and messages courteously and in a timely manner. Announce visitors and applicants, and follow up appropriately to avoid undue wait time for visitors or skill testing candidates. Assist job applicants and employees with applying on line as needed. Direct and manage incoming activity in reception and waiting areas, to ensure a positive and professional first impression for all visitors. Maintain a professional and organized work space and reception area. Prepare ID badges, assign door access and name tag orders. Collect, track and process payroll deduction and other authorization forms, order supplies and equipment repair/servicing as needed. Responsible for securing reception area to include timely automatic locking of doors, securing deadbolt locks after hours, walk reception computer workstations to ensure internet use is limited to company business activity only. May assist with accurate completion of Onboarding (new hire paperwork) and employment authorization, and follow-up as needed. May assist with processing pre-employment screening, entering new hire information and other updates as needed into the HRIS system. Completes other administrative duties, assignments and projects as required.This job description in no way states or implies that these are the only duties to be performed by the employee in this position. College and Human Resources experience preferred. 2 years Administrative and/or Receptionist experience preferred. 3 years Customer Service experience preferred. Fluent in English and Spanish a must.CERTIFICATES, LICENSES, REGISTRATIONS: Human Resources certification preferred, not required.QUALIFICATIONS: Fluent in Spanish and English a must. Must uphold a high level of integrity and confidentiality. Able to multi-task and produce work in a fast-paced environment. Strong work ethic, high energy level and positive attitude. Proven exceptional customer service skills with both internal and external guests. Excellent computer skills; must be proficient in Microsoft Office applications. Self-directed and independent but works as a team player. Must be process oriented with strong attention to accuracy and detail. Ability to prioritize responsibilities. Professional written and verbal communication skills. Bilingual English/Spanish required. Pursuit of continuous improvement; enhance or increase personal knowledge and skills that will assist in job performance.
