Job Description Receptionist The Receptionist reports to the Pursuits Manager, and is a member of the administrative services team. This position supports all administrative needs at the Headquarters office, and performs routine duties in support of members of the Enterprise Governance Committee (EGC) and Corporate Steering Committees (CSC). The ideal candidate presents a positive attitude and is eager to provide client and guest hospitality. Key to this position is attention to detail and a sense of urgency in providing service to internal and external clients. Responsibilities * Maintain receptionist desk coverage from 7 am to 5 pm; coordinate coverage for extra hour and lunch hours with other Administrators. * Maintain Headquarters lobby, Guest Pantry, Guest Telephone room, and reception areas: ensure cleanliness and order, and oversee seasonal d?cor. Ensure iPad is running each morning, and charged each evening, and TVs are on and correctly programed. Clean Keurig machine, per schedule. * Greet clients, employees, subcontractors, couriers and other guests, ensuring their first interaction at HITT is positive. Direct visitors as needed. * Answer the multi-line telephone system and route calls; providing general information as needed. * Maintain security by following procedures; monitoring logbook; issuing visitor badges. * Assist in scheduling and coordinating conference rooms upon request by EGC and CSC members. * Open and sort mail. * Update industry events on the Corporate Calendar on the intranet home page. * Manage and distribute electronic faxes in a timely manner, ensuring all faxes are distributed on a daily basis to the correct recipients. * Contribute to corporate and internal event support (name tags, registration, prepare promo items, etc.) as needed.
